Job Purpose
To oversee and manage the daily despatch operations at the Pretoria West facility. The Despatch Clerk will ensure the accurate and timely dispatch of goods, maintain meticulous records, and support the logistics team in achieving efficiency and customer satisfaction. This role requires a hands-on individual who can balance administrative duties with supervisory responsibilities.
Key Performance Areas
- Dispatch Coordination
· Ensure all delivery vehicles are dispatched promptly each morning.
· Coordinate internal distribution labour to meet operational demands.
· Arrange staff replacements to maintain continuous workflow.
- Record Keeping and Reconciliation
· Maintain accurate records of all goods received and dispatched.
· Complete the daily despatch reconciliation document.
· Verify production transfers and confirm returns to the despatch department.
· Balance daily sales reports with van sheets for each delivery route.
- Team Oversight
· Ensure the despatch team adheres to uniform and safety regulations.
· Supervise and verify the work of the despatch foreman.
· Foster a culture of accountability and customer service excellence.
- Stock Control
· Count and record all driver returns using the official return slip system.
· Monitor stock variances and report discrepancies to management.
· Ensure all captured data is accurate and error-free.
Minimum Requirements
Education:
· Matric / Grade 12 is essential.
· A National Diploma in Logistics, Supply Chain Management, or a related field will be an added advantage.
Experience:
· Minimum of 2 years of experience in a despatch, logistics, or warehousing role.
· Proven track record of managing records and performing reconciliations.
· Experience in the FMCG or manufacturing sector is beneficial.
Skills and Competencies:
· Strong attention to detail and numerical accuracy.
· Excellent organizational and time management abilities.
· Proficiency in data capture and basic inventory systems.
· Effective communication and team coordination skills.
· Ability to work under pressure and meet strict deadlines.
