Key Responsibilities
In this role, the Despatch Clerk will contribute to the smooth running of the dispatch function and assist with ensuring that products are accurately recorded, transferred and prepared for delivery.
Key duties will include checking loading documentation to confirm that information is correct before goods are dispatched. The successful candidate will also be responsible for processing short loads and credit notes when required and assisting with the reconciliation of bread transferred from production against issues and customer orders.
Product quality will also be an important part of the position. The employee will inspect bread before dispatch to ensure that products meet the required standards. They will also monitor the movement of bread from production into the dispatch area and verify that the correct quantities are received.
The role will involve maintaining accurate stock levels and assisting with stock control to minimise discrepancies during month-end and year-end processes. The successful candidate will be expected to compile and review reconciliation information and identify potential variances that may require attention.
The Despatch Clerk will also assist with workforce planning by completing wage norms for the shift and helping ensure that staffing levels are appropriate for operational requirements.
Before vehicles leave the facility, trucks must be inspected to ensure that they are properly prepared, closed and secured. The successful candidate will therefore play an important role in ensuring that dispatch procedures are followed correctly.
The position also includes supporting employee discipline and performance in line with company policies. Candidates should therefore be confident working with people and capable of providing direction, encouragement and support to team members.
Additional responsibilities may include supporting TeamConnect, 20 Keys and food-safety initiatives, ensuring employees use the clocking system correctly and performing other reasonable duties required to support the operation.
Minimum Requirements
Applicants should meet the following requirements:
- Grade 12 / Matric or a relevant tertiary qualification.
- Approximately 1–2 years of clerical experience.
- Computer literacy is essential.
- Working knowledge of Microsoft Office, Windows and Microsoft Outlook.
- Good written and verbal communication skills.
- Ability to work shifts, including overtime and weekends.
- Knowledge or experience within a bakery environment would be advantageous.
- Ability to work accurately and pay close attention to detail.
