If you thrive in structured environments, possess advanced document management skills, and are ready to contribute to the quality assurance processes of a top-tier educational institution, we want to hear from you.
Job Purpose: Academic Documentation Specialist
The primary purpose of this role is to provide essential administrative support for the migration and formatting of qualification documentation. You will play a key role in preparing structured submission packs for internal quality review and external regulatory bodies. This involves transferring data from existing programme packs into approved templates, ensuring strict version control, and maintaining the highest standards of document accuracy.
Key Responsibilities: What You Will Do
· Document Formatting & Migration: Accurately transfer qualification documentation from existing programme packs into new, approved submission templates. This requires a non-negotiable, advanced command of MS Word to manage complex formatting.
· Regulatory Submission Support: Compile, format, and organize annexures and supporting evidence into coherent, structured submission packs ready for regulatory scrutiny (e.g., for CHE or QCTO purposes).
· Quality Assurance (QA) & Version Control: Ensure correct sequencing, labelling, and version control of all documentation. You will be the gatekeeper of document integrity, ensuring that the correct versions are always used.
· Data Tracking: Maintain an accurate project tracker using intermediate to advanced MS Excel skills, including the use of formulas to monitor progress and highlight outstanding items.
· Collaboration & Review: Submit completed packs for internal QA review and implement required corrections within strict, agreed-upon timelines.
· Process Adherence: Participate in virtual training and alignment sessions to ensure consistency across the team. You will also be required to adhere strictly to all confidentiality and data protection protocols.
Minimum Requirements: What You Need to Succeed
Education:
· A Diploma or Bachelor’s Degree (NQF Level 6 or 7).
Experience & Technical Skills:
· 1–3 years of experience in academic administration, quality assurance support, or structured document management within a regulatory environment.
· Advanced MS Word Skills (Non-Negotiable): You must be able to work effortlessly with long, complex templates, styles, tables of contents, and formatting.
· Intermediate to Advanced MS Excel Skills: Proficiency in using formulas and data tracking tools to manage project documentation is essential.
· Own Equipment: Access to a personal laptop capable of running the full Microsoft Office suite smoothly.
· Connectivity: A stable, high-speed internet connection suitable for full-time remote work and participation in virtual meetings.
Key Competencies: The Ideal Candidate Profile
· Meticulous Attention to Detail: You have a sharp eye for spotting inconsistencies in formatting, labelling, and content.
· High-Volume Document Management: You are comfortable working with long, structured templates and managing large volumes of documentation without losing focus.
· Organisational Excellence: You possess strong organisational and time management skills, allowing you to juggle multiple tasks and meet tight deadlines.
· Resilience: You can work under pressure and maintain quality output when facing strict turnaround times.
· Integrity: You demonstrate a high level of professionalism and understand the importance of handling sensitive academic information with confidentiality.
· Independence: You are a self-starter who can work autonomously in a remote setting, managing your time and workload effectively.
