The Department is looking for someone who is dependable, responsible and committed to performing their duties efficiently. The successful applicant must be willing to rotate between different areas within the unit according to operational requirements.
Because the role involves the physical movement of files, documents and other materials throughout the hospital, applicants should be physically fit and capable of performing strenuous duties.
Good interpersonal and relationship-building skills are also important because the Messenger will interact with employees and different sections of the hospital during the course of their work.
The successful candidate should be able to work independently with limited supervision and must understand the importance of protecting confidential information. Maintaining confidentiality at all times is particularly important when handling patient-related clinical files and documentation.
Duties and Responsibilities
The appointed Messenger will provide an important support function within Patient Administration by ensuring that clinical files and official documents reach the correct departments and offices.
One of the main responsibilities will be the movement of mental health care users’ clinical files between the Outpatient Department (OPD), Ward 1 and the Pharmacy section for medicine collection.
The Messenger will also transport clinical files from Patient Administration to various OPD clinics. Additional file movements will include transporting records to and from locations such as the Auditorium, OPD clinic, Central Admissions, Case Manager’s Office and Archives.
Another responsibility will involve collecting and delivering clinical files belonging to walk-in users. These files will be moved from Central Admissions to the Pharmacy and relevant OPD areas.
The position will also require the handling and delivery of Mental Health Care Act (MHCA) forms and related documents between Patient Administration, the Matron’s Office and the Clinical Manager’s Office.
The Messenger will collect and deliver mail and official correspondence between different sections of the hospital. Mail collection and delivery will take place twice daily, helping ensure that important communication reaches the intended departments without unnecessary delays.
The employee may also be required to collect and submit official documentation as requested by internal or external stakeholders.
In addition to the duties specifically listed, the successful candidate may be assigned other reasonable tasks by the supervisor, provided that these responsibilities fall within the scope of the Messenger position.
