The Debtors Clerk will assist with the effective management and collection of customer accounts. Responsibilities will include receiving customer remittance advice and ensuring that payments are correctly allocated to the relevant accounts.
The successful candidate will also be expected to clear allocated cash in the General Ledger and ensure that debtor information remains accurate and up to date.
Statements will need to be generated through SAP according to the agreed monthly schedule and distributed to customers. The Debtors Clerk will then follow up with customers regarding outstanding balances and assist in resolving account-related queries.
The position will also involve supporting the reconciliation of inter-branch and inter-company accounts, investigating outstanding reconciling items and following up where information or clarification is required.
Customer Account Administration
The successful candidate will assist in monitoring customer accounts against approved credit limits. Any potential breaches or concerns should be identified and escalated to the relevant supervisor before customers exceed their approved limits.
After statements have been issued, the Debtors Clerk may communicate directly with customers regarding outstanding balances. Where necessary, the employee will assist customers with documentation or applications relating to credit-limit increases, particularly where these are supported by the relevant credit analysis.
Accounts that have remained outstanding for 60 days or longer must be monitored and reported to the Finance Manager.
Where customers fail to make required payments, the Debtors Clerk will process authorised “stop supply” instructions on SAP. Before supply restrictions are implemented, the employee should, where possible, engage with customers to resolve account issues and encourage payment.
The successful candidate will also communicate account-blocking information to customers and ensure that relevant internal departments are aware of any changes to a customer’s account status.
Intercompany Account Support
The role will provide support with intercompany account reconciliations and confirmations.
This includes helping to identify differences between accounts, following up on outstanding reconciling items and assisting with the resolution of discrepancies so that financial records remain accurate.
Treasury and Finance Administration
The Debtors Clerk will assist with various treasury-related administrative activities. This includes reviewing monthly loan schedules and checking balances involving both intercompany and external parties.
Additional responsibilities include assisting with intercompany reconciliations and confirmations, resolving outstanding items and allocating interest to the relevant intercompany components.
The position will also involve processing monthly interest journals and income tax provision journals as required.
Year-End Financial Support
During year-end activities, the successful candidate will assist the Finance team with the preparation and consolidation of provision schedules for group reporting.
The employee may also assist with updating the group reporting pack and statutory annual financial statement pack.
Additional year-end responsibilities include supporting the calculation of the IFRS 9 Expected Credit Loss (ECL) provision, as required.
General Administration
The Debtors Clerk will be expected to maintain accurate financial and administrative records and ensure that documentation is properly filed and readily available when required.
The role may also involve preparing spreadsheets, reports and financial analyses for specific requests from management or the Finance team.
SAP Data and Information Management
Accurate data capturing is an important part of this position. The successful candidate will help ensure that financial information is entered correctly and consistently into SAP.
Reliable and up-to-date information enables the Finance team to produce meaningful reports, identify trends and support informed business decisions.
Teamwork and Performance
RCL FOODS is looking for an individual who takes responsibility for their work and can effectively manage competing priorities.
The successful candidate should demonstrate accountability, good planning and strong organisational skills while ensuring that assigned tasks are completed accurately and within agreed deadlines.
Where a deadline cannot be met, the employee will be expected to communicate the potential impact to the relevant stakeholders and assist in finding an appropriate solution.
The role also requires someone who works well with colleagues and customers, communicates professionally and is willing to support other team members when necessary.
The successful candidate will be encouraged to participate in available training and development opportunities, take ownership of their professional development and contribute towards achieving team objectives.
