Purpose of the Role
The Hub Administrator is responsible for executing the core administrative functions within the procurement hub, bridging the gap between procurement, finance, and on-site operations. Reporting directly to the Hub Manager, you will support multiple units at varying levels of procurement maturity. Your primary mission is to ensure accurate transactional processing, maintain stringent stock control, and enable the seamless deployment and integration of the Wanama System across newly converted or mobilized sites.

· Multi-Unit Support: Experience supporting or coordinating administrative tasks for multiple operational units is highly beneficial.
Strategic Objectives
The Hub Administrator will focus on achieving four key strategic goals:
- System Deployment: Accelerate the rollout and conversion of new units to the Wanama digital procurement system.
- Accuracy & Compliance: Improve procurement accuracy, tighten stock controls, and ensure strict invoice compliance.
- Process Efficiency: Streamline and centralize processes to improve efficiency and facilitate strategic supplier engagement.
- Operational Support: Provide temporary or ongoing procurement support to units with limited administrative capacity.
Core Responsibilities
Procurement and Transactional Processing

· Approve and issue POs for units with restricted system access to ensure uninterrupted operations.
· Capture and approve goods receipts and invoices, ensuring strict alignment with pricing and quantities.

· Maintain documentation integrity by verifying supplier deliveries and ensuring a complete audit trail.
· Issue daily expected delivery reports and compile weekly invoice reconciliations.
· Capture internal and intercompany stock transfers accurately.
· Perform system housekeeping by closing outdated or incorrect document statuses.
Stock Control and Verification
· Run pre-stock count system reports to ensure all transactions are complete before physical counts begin.
· Generate and distribute digital and physical stock count sheets to unit managers.
· Create stock counts in the system and import captured data post-count.
· Analyze stock variances, investigate discrepancies, and escalate issues to unit managers for resolution.
· Produce MTA Flash reports prior to period finalization.
· Submit finalized variances for Regional Manager (RM) approval and close out stock counts.
· Manage period openings, closings, and the transition between invoice cycles.
Financial Administration
· Create and manage trade period dates within the system.
· Capture DTA (Daily Transaction Advice) inputs, cash takings, banking details, and client credit sales.
· Oversee daily financial processing to ensure all documentation is accurate and complete.
· Liaise effectively with Hub Operations, Procurement Teams, Regional Managers, and unit-level staff to resolve queries and support administrative requirements.
