About the Receptionist Position
The Receptionist will be the first person many visitors, customers and callers interact with when contacting the company. The role therefore requires someone who can maintain a professional manner, communicate clearly and create a welcoming environment.
In addition to front-desk duties, the successful applicant will provide general office and administrative assistance. This includes managing telephone communications, receiving visitors and deliveries, coordinating meeting rooms, responding to emails and assisting with office supplies and other operational requirements.
The role may also involve handling basic customer complaints when the relevant customer engagement representative is unavailable.
Key Responsibilities
The Receptionist will be responsible for managing incoming telephone calls and ensuring that callers are connected with the correct employees or departments. This includes screening calls, taking accurate messages, answering basic customer enquiries and directing customers to the appropriate company stores when necessary.
The successful candidate will also maintain updated telephone information and operate the company’s telecommunications and switchboard systems.
Another important aspect of the position involves providing limited assistance with customer complaints. Where the Customer Engagement Lead is unavailable, the Receptionist may collect the customer’s contact information and details of the complaint, complete the appropriate documentation and ensure that the matter is referred to the relevant person for further attention. Urgent matters may need to be escalated to the Technical Manager.
The Receptionist will also assist with the procurement and organisation of office supplies. This may include ordering stationery, cleaning products, basic refreshments and other office consumables when required. The role also includes arranging business cards for employees and store cards for members of the sales team.
Maintaining an orderly reception and office environment will be an important part of the job. The successful applicant will help ensure stationery cupboards and other shared areas remain organised and presentable.
Visitor and Front-Desk Support
The Receptionist will welcome employees, customers, suppliers and other visitors entering the office. Duties include greeting guests, directing them to the appropriate person or area and offering refreshments where appropriate.
The position also involves receiving courier packages and mail and ensuring that deliveries reach the correct departments or employees. The Receptionist may assist visitors with guest Wi-Fi access and provide general support to ensure that guests have a positive experience.
Administrative Duties
The successful candidate will provide a range of general administrative services across the office. Responsibilities may include managing the Irene office email inbox, identifying important correspondence, forwarding emails to the appropriate employees and removing unwanted or spam messages.
The Receptionist will also assist with managing bookings for boardrooms and coordinating various office-related appointments. This may include contacting electricians, plumbers, technicians and other service providers when maintenance or repairs are required.
Other administrative responsibilities include arranging courier collections and deliveries, assisting with office deliveries and helping coordinate office stock between buildings and departments.
The role may also involve keeping car park schedules updated, maintaining staff birthday information and providing administrative assistance to the Management Committee.
Additional clerical work such as filing, photocopying and printing may also be required. The Receptionist must ensure that the reception area remains clean, safe, organised and professional at all times.
Minimum Requirements
Applicants should have:
- Grade 12 or an equivalent school qualification.
- Previous experience working as a Receptionist, Front Office Representative or in a comparable position.
- Good working knowledge of Microsoft Office applications will be advantageous.
- Additional training or certification in Office Management or a related field will be an added advantage.
- Practical experience using common office equipment such as printers.
Candidates should also be comfortable working with telephone and switchboard systems.
Skills and Personal Attributes
