About the Creditors Clerk Position

The Creditors Clerk will be involved in the day-to-day administration of supplier accounts. This includes capturing and checking invoices, preparing information for payments, processing financial adjustments and ensuring that payments correspond correctly with outstanding supplier documentation.

The role is an important part of the supplier payment cycle. Accuracy is essential because the successful candidate will work with invoices, statements, payment records, debit and credit transactions and supplier banking information.

The position also involves communicating with suppliers when account-related questions arise. The successful applicant should therefore be comfortable communicating by telephone and email and should be able to investigate queries before providing accurate feedback.

Key Responsibilities

As a Creditors Clerk, your duties will include supporting the complete supplier accounts process from invoice receipt through to payment and reconciliation.

You will be responsible for capturing supplier invoices accurately and assisting with the processing of invoices for payment. You may also handle debit and credit transactions and check that these entries are correctly reflected on supplier accounts.

Daily reconciliation forms an important part of the role. You will compare payments processed against invoices and related financial adjustments to identify discrepancies and help ensure that supplier accounts remain accurate.

The position will also involve assisting with the verification and capturing of supplier banking information through the relevant online banking platform. Because banking information and payment processing require careful handling, attention to detail and adherence to established procedures are important.

You will assist with managing daily payment batches using SAP and internet banking systems, where applicable. This includes helping with payment runs, importing payment files into online banking platforms and maintaining appropriate records or backups of payment information.

Another key responsibility will be checking the status of invoices and supplier statements. Where necessary, you will determine whether debit or credit entries need to be processed and assist with resolving discrepancies.

The Creditors Clerk will also communicate with suppliers by email and telephone. This may include providing invoices, statements or payment confirmations and responding to questions concerning payments, accounts and outstanding documentation.

All assigned daily, weekly and monthly responsibilities must be completed within the required deadlines. The successful candidate will also maintain appropriate filing and archiving of documentation for audit and record-keeping purposes.

Additional administrative duties may be assigned as required.

Minimum Requirements

Applicants should meet the following requirements:

  • Grade 12 with Accounting or an equivalent qualification is essential.
  • A certificate or diploma in Accounting or a related field will be advantageous.
  • At least one year of relevant experience in a creditors clerk, finance, accounting administration or similar position is required.
  • Good working knowledge of Microsoft Office 365, particularly Outlook and Excel.
  • Practical understanding of creditors documentation, including invoices, supplier statements, remittances and EFT payments.
  • Exposure to SAP or another accounting package will be advantageous.

Experience in a corporate or retail environment is preferred.

Skills and Personal Attributes

The ideal candidate should have strong attention to detail and be comfortable working with numbers and financial records. Good organisational skills are important because creditors administration involves multiple invoices, payment deadlines and supplier queries.

The ability to identify discrepancies and follow established procedures is also important. Candidates should be able to communicate clearly and professionally when dealing with suppliers and internal departments.

Computer literacy, particularly in Excel and Outlook, will be necessary for completing everyday administrative and financial tasks. The successful candidate should also be reliable, organised and able to work consistently towards daily, weekly and monthly deadlines.
